Planning an international mission trip involves more than booking flights. Whether it's your first time coordinating group airfare or you've done it dozens of times, these resources are here to help your team prepare well and travel smart.

You never know what will happen on your trip. Trip insurance is a good way to protect your team and your investment from the unexpected — covering trip cancellation, medical emergencies abroad, lost luggage, and evacuation. HighPoint highly recommends that you and your group members consider trip insurance. Any individual traveling with you can sign up for insurance on their own — it does not have to be taken out by the entire group. If you are considering buying insurance for more than 10 people, contact us for group insurance and lower rates per person.

Before your team travels internationally, check the latest travel advisories from the U.S. Department of State. Your HighPoint travel consultant can also help flag destination-specific concerns early in the planning process.

International travel requires valid passports for every member of your group — and some destinations require visas as well. We recommend ensuring all passports are valid for at least six months beyond your travel dates. If team members need new or renewed passports, start early. Processing times can vary significantly, and expedited services add cost. HighPoint does not advise on passport or visa issues directly, but we recommend CIBT for help with any visa processing or passport needs.

Humanitarian airfare is a discounted fare classification available to qualifying 501(c)(3) organizations traveling internationally for mission, relief, or charitable purposes. Not all airlines offer it, and eligibility requirements vary. HighPoint navigates this on your behalf — we determine your eligibility, identify the best options, and present them alongside standard group fares so you can compare.

Here is a very brief differentiation: Humanitarian requires you to be traveling with a church or non profit and the primary focus has to be ministry related. Group airfare requires a minimum of 10 passengers. If you have more than 10 passengers, we can compare both. If you have less than 10 we can explore humanitarian fares. Humanitarian fare options depend on your travel destination and are great for smaller teams that might not qualify for a group fare. You could qualify for both and we explore all options to decide what’s best for your specific team!

Knowing the facts and safety history of a charter company is key to a great trip. The FMCSA's Safety Measurement System (SMS) is a tool that lets you see the full company profile and safety history for all public charter bus companies. HighPoint vets all vendors against strict safety standards before we ever recommend them — but this tool is available if you'd like to do your own research.

Your charter bus will arrive at the confirmed pickup location at the scheduled time. We recommend having your group assembled and ready 15 minutes before departure. Your HighPoint ground team will have confirmed all details with the bus operator in advance — route, stops, timing, and driver contact information. If anything changes on travel day, we're a phone call away.

Confirm your headcount as early as possible — bus sizes and pricing depend on it. Share pickup location details and timing with your full group well in advance. Designate a point person on the bus who has the driver's contact info and the HighPoint support number. And if your ground transportation connects to a flight, let us coordinate the timing so nothing gets out of sequence.
